Dreams has automated its property management process with a system from K3.

The beds retailer said the system has allowed it to cut costs and improve the management of its store estate.

The system covers premises management, rents, repairs and maintenance, allowing Dreams to automate every aspect of its property ownership and occupation.

Dreams’ property management team can now track assets and manage complex rent agreements. Using the property maintenance module, the team can also manage the maintenance and repairs of the estate and stores equipment.

The system has been integrated with Dreams’ existing Microsoft Dynamics core financial software modules, also supplied by K3.

Before installing the system, the property management team held information in a variety of formats, but there was no cohesive system in place.

Dreams IT director Lee Felton said: “The original system was a mixture of Excel and Word documents. We now have an integrated package that gives us one version of our property details and associated history across the estate.

“Our property management team can pull all the information on any of our properties from the database. It contains a range of details including the size of the store, number of rooms, previous maintenance history and pictures.”

Felton also explained how the system mirrors the work processes of the property management team.

“If a store manager needs to replace a broken window, they call the property management team, who will log the call, contact the appropriate repairer, raise a purchase order on the system and control the whole process,” he said.

Dreams has expanded its store estate in 19 out of the 20 years it has been trading. Chief executive Mike Clare has revealed that he plans to continue to open stores for the next 10 years (Retail Week, November 30).
